Internal Sales - Administrator

Job Title: Internal Sales / Office Administrator

Location: Milton, Otago

The Opportunity:

We are seeking a motivated and versatile individual to join our team as an Internal Sales / Office Administrator. This is a dynamic role that sits at the heart of our operations, providing crucial support to both our sales efforts and general office functions. If you're a people person with strong organizational skills and a can-do attitude, we'd love to hear from you!

Key Responsibilities:

Client Assistance:

  • Greeting and assisting walk-in clients, understanding their needs, and providing product information.
  • Answering incoming phone calls and emails, addressing inquiries, and directing calls as appropriate.
  • Assisting clients with product selection and initial quoting.
  • Scheduling appointments for sales consultations and installations.

Sales Support:

  • Preparing and following up on quotes and orders.
  • Maintaining customer relationship management (CRM) records.
  • Collaborating with the sales team to ensure smooth transitions from inquiry to sale.

General Administration:

  • Managing office correspondence and filing systems (both physical and digital).
  • Processing invoices and assisting with basic bookkeeping tasks.
  • Maintaining office supplies and ensuring the office runs smoothly.
  • Assisting with marketing activities and social media updates as required.
  • General data entry and administrative tasks to support the wider team.

What We're Looking For:

  • Experience: Proven experience in an administrative or customer service role is highly desirable. Experience in sales support or the building industry would be an advantage but is not essential.
  • Communication Skills: Excellent verbal and written communication skills, with a friendly and professional telephone manner.
  • Customer Focus: A genuine desire to help customers and provide an outstanding experience.
  • Organizational Skills: Strong attention to detail, highly organized, and able to manage multiple tasks effectively.
  • Tech Savvy: Proficient in Microsoft Office Suite (Word, Excel, Outlook). Experience with V6 or Monday.com is a plus.
  • Attitude: Proactive, self-motivated, reliable, and a team player with a positive approach.
  • Local Knowledge: Familiarity with the local Milton and South Otago area is a plus.
